5 Gmail automations that save hours every week

Gmail is where manual work hides in plain sight: copying order emails into sheets, forwarding the same attachment to the same people, hunting for invoices at tax time. Here are five Apps Script automations I deploy most often — each one earns back hours every single week.

1. Auto-label and archive by content

Rules based on the sender are fragile. Apps Script can read the body:

function labelOrders() {
  const threads = GmailApp.search('subject:("new order") -label:orders newer_than:1d');
  const label = GmailApp.getUserLabelByName('Orders');
  threads.forEach((t) => { label.addToThread(t); t.moveToArchive(); });
}

Run it on a 15-minute trigger and your inbox self-sorts.

2. Log every email to a Google Sheet

An append-only audit trail your accountant can filter:

function logToSheet() {
  const rows = GmailApp.search('newer_than:1d').map((t) => {
    const msg = t.getMessages()[0];
    return [msg.getDate(), msg.getFrom(), msg.getSubject()];
  });
  SpreadsheetApp.openById('SHEET_ID').getSheetByName('Log')
    .getRange(2, 1, rows.length, 3).setValues(rows);
}

3. Save attachments straight to Drive

Invoices and receipts land in a folder structure by month — no more inbox archaeology in March. Pair it with the invoice pipeline and tax season becomes a filter.

4. Scheduled follow-up reminders

Star an email, get pinged in 3 days if nobody replied. A time-triggered script scans for starred threads older than your threshold and re-sends them to the top of your inbox with a "⚠ FOLLOW UP" prefix.

5. Auto-replies that pull real data

"When is my delivery arriving?" — the script matches the order number, reads the status from your Sheet, and answers with the actual data instead of "we'll get back to you."

Where to start

Start with #1 — it's 15 lines and teaches you search + labels + triggers, which power all the rest. Add one automation per week and your inbox becomes infrastructure instead of a to-do list.

Or skip the learning curve: I build these systems end-to-end, running in your own Gmail, documented, with a fixed price.
